Digital Signature Certificate (DSC) – Frequently Asked Questions

A DSC is an electronic form of a signature that proves the authenticity and integrity of digital data or electronic documents. It is issued by licensed Certifying Authorities (CAs) and is legally valid in India under the Information Technology Act, 2000.

DSCs are used to:

  • Securely sign electronic documents (e.g., GST returns, MCA filings, e-tenders).
  • Prove the identity of the signer.
  • Ensure the document is not altered after signing.
  • Comply with government e-filing requirements.

Any Individual, Organization, or Representative of an Organization who needs to sign documents digitally can apply. Common applicants include:

  • Company directors
  • Chartered Accountants (CA), CS, CMA
  • Business owners
  • Government contractors
  • Professionals in e-tendering, e-auctions

In India, DSCs are classified mainly into:

  • Class 2 Certificate (discontinued after Jan 1, 2021) – Used for basic identity verification.
  • Class 3 Certificate – High assurance, mandatory for e-tendering, MCA, GST, ITR filings.
  • DGFT DSC – Special DSC for businesses dealing with import/export via DGFT portal.

A DSC contains:

  • Your public key and encrypted private key
  • Your name & email ID
  • Certifying Authority details
  • Validity period

DSCs are generally issued for 1, 2, or 3 years. After expiry, they must be renewed.

Steps:

  1. Choose a licensed Certifying Authority (e.g., eMudhra, Sify, Vsign, NIC).
  2. Fill out the DSC application form online or offline.
  3. Complete identity verification (Aadhaar OTP / PAN / video verification).
  4. Submit necessary documents and payment.
  5. Download/receive the DSC on a USB token.

For Individuals:

  • PAN card (mandatory)
  • Aadhaar card / Passport / Driving License
  • Passport-size photograph
  • Email ID and mobile number

For Organizations:

  • Company PAN
  • Certificate of Incorporation
  • Authorized signatory’s ID proof
  • Board Resolution / Authorization letter

A USB token is a secure device where your private key is stored. It is mandatory for Class 3 DSCs and ensures no unauthorized use of your signature.

Yes, a DSC stored in a USB token can be used on any system after installing the token drivers.

Apply for renewal through the same Certifying Authority before expiry. Complete identity verification again. A new private key is generated; the old one is no longer valid.
